1. Create a daily ritual

Rituals help signal to your brain that it’s time to shift from life mode to work mode.  

The key is consistency: choose something small, repeatable and meaningful to you so you can start your day with quick, achievable wins. Over time, this ritual will become a grounding force that steadies even the busiest days.  

2. Prioritise what actually matters 

Not all tasks are created equal. Many professionals spend their days being reactive to emails and requests, or ticking off low-value tasks simply because they’re easy. Real progress comes from identifying the work that moves the needle.  

A simple way to start is by asking ‘What are the three most important things I need to achieve today?’. Once you know your priorities, you can structure your day around them rather than letting your inbox decide for you. 

3. Batch similar tasks together

Group similar tasks together: admin in one block, meetings in another, creative work in its own uninterrupted window. 

This approach helps you maintain momentum and reduces that ‘start-stop’ feeling that can lead to procrastination. It’s also a great way to stay focused on work that requires deeper thinking. 

4. Organise your workspace 

Your environment shapes your behaviour more than you might expect. A cluttered desk, scattered notes or disorganised digital files can slow you down and increase stress. By taking a few minutes each day to tidy your workspace and file your emails and documents, you will feel a greater sense of clarity and control over your work. 

Your space doesn’t have to be pristine – it’s about designing a space that helps you quickly find what you need and supports the way you work.  

5. Plan weekly, not just daily

Daily planning is essential, but weekly planning is transformative. A weekly overview helps you anticipate busy periods, allocate time for long-term projects and avoid the last minute rush that leads to burnout.  

Set aside 10 minutes at the start or end of each week to map out your priorities, commitments and goals. This higher-level view will help you be proactive rather than reactive.  

Make sure you don’t fill your entire calendar. Always leave space for urgent, unplanned tasks that can come up last minute. While these tasks may be out of your control, pre-planning buffer time can help you retain control over your work.
